On November 15, 2025, VCU Health Systems will be retiring the use of Zoom for most video conference meetings. They are taking these steps as a cost savings measure, significantly reducing the number of licenses for Zoom, and promoting the use of Microsoft Teams for smaller, individual and group team meetings. We believe this will potentially have an impact on the faculty and staff of VCU SOM. SOM employees have access to both vcuhealth.zoom.us and vcu.zoom.us environments. This upcoming change will only impact the vcuhealth.zoom.us accounts.

VCU Health System IT is still determining which use cases will continue to have a license, but the initial guidance provided is they are only keeping enough licenses for large, Health System webinars. Individuals will no longer have accounts to host or create Zoom meetings through vcuhealth.zoom.us.

SOM faculty and staff will continue to have video conferencing options for Zoom at vcu.zoom.us, and Microsoft Teams through your Office365 account at vcuhealth.org.

Before the November 15th deadline, there are steps you can take to make this transition easier, and ensure nothing has been overlooked: · If you have used vcuhealth.zoom.us for meetings, login to your VCUHS Zoom account

o Check for upcoming Zoom meetings by clicking on ‘Meetings’ in the left navigation menu. You may change the date range in the box at the top.

o Anything scheduled for after November 15 will need to be recreated using your vcu.zoom.us account.

o Be aware of any recurring meetings you have scheduled, where a Zoom link was copied into a meeting invite, and might not appear in this list.

o If appropriate, download recordings, summaries, and transcriptions through the menu options. · Login to your vcu.zoom.us account to ensure you have access to Zoom, and update any configurations or preferences · Updates and information about Zoom can be found on the VCU Technical Services website
